Cambodia has a hot and humid tropical climate, and local consumers have a strong demand for mild, halal-certified oral care products. The Cambodian purchaser actively released a procurement demand through the Alibaba.com RFQ market, targeting halal alcohol-free herbal toothpaste. The buyer required a factory with a low MOQ of 50,000 pieces for market trial and was ready for large-scale bulk procurement, and screened multiple Chinese toothpaste manufacturers for comparison. Relying on complete certification qualifications and targeted product solutions, our factory stood out from many competitors and finally reached a cooperation agreement.

Full Cooperation Process


1. Rapid inquiry response, build professional trust rapidly

After receiving the RFQ inquiry, our business team responded within 3 minutes. Different from peers who only offered simple quotations, we provided a complete set of supporting materials for the first time, including HALAL halal certification, SGS quality inspection report, real shipment videos of Cambodian supermarket orders, and multiple mature herbal toothpaste formulas.

In order to break the ice quickly, we took the initiative to shoot high-definition real-scene videos to fully display the toothpaste’s appearance, paste texture, fragrance characteristics and core efficacy. We shared all video materials on the same day, successfully obtained the customer’s WhatsApp contact information, and launched one-on-one professional communication, laying a solid foundation for subsequent order confirmation.


2. Solve localized pain points and eliminate customer concerns (Day 4–10)


After viewing our professional product demonstration videos, the customer raised core concerns based on local market experience: ordinary toothpaste paste is prone to delamination and deterioration in Cambodia’s high-temperature and humid environment, which cannot meet long-term supermarket shelf storage requirements.

In response to local climatic characteristics, our factory immediately launched targeted verification: we recorded a 7-day continuous high-temperature resistance test video at 55℃ to prove that the paste was stable and non-delaminating. Meanwhile, we shared real videos of fully automatic vacuum mixing production lines and accepted the customer’s online remote factory audit, fully demonstrating standardized production and quality control capabilities.

After confirming the product stability and production strength, the customer finally finalized the aloe herbal toothpaste formula and confirmed the customized packaging and color box design scheme.


3. Flexible business negotiation, secure orders via Alibaba Trade Assurance (Day 11–20)


In the price negotiation stage, we refused low-price involution and offered a reasonably premium quotation based on product quality and customized services. We clearly explained the premium value: the product added special paste stabilizers adapted to tropical high temperatures, and our team could assist customers in sorting out complete filing materials to help them complete local market access, saving customers additional certification costs and time costs.

Aiming at the customer’s worry about cross-border payment risks, we adopted the Alibaba.com Trade Assurance order mode to lock the order. After multiple communications, both parties confirmed the payment terms of 30% advance deposit and 70% balance payment before shipment, which guaranteed the legitimate rights and interests of both buyers and sellers. The official PI was issued in a timely manner to confirm details such as delivery cycle and shipping marks.


4. Strict production and pre-shipment inspection to ensure quality delivery (Day 21–28)


After receiving the advance payment of USD 24,600, the factory immediately arranged raw material procurement and mass production. The business team synchronized production progress and real photos to customers every 3 days to realize transparent production.

In response to the customer’s requirement of third-party SGS inspection, we reserved a special inspection window in advance. The batch of products successfully passed the full inspection of quantity, packaging and paste quality. The customer completed the final balance payment after confirming no abnormalities.

 
5. Complete customs clearance and shipment, promote long-term repeat cooperation (Day 29–32)


Our factory completed container loading and customs declaration efficiently, and provided customers with full-set customs clearance documents including bill of lading copy, packing list and certificate of origin to ensure smooth customs clearance and shelf sales of goods in Cambodia.

After the goods were launched in local supermarkets and achieved good market feedback, the customer took the initiative to place a quarterly repeat order of USD 250,000, and expanded the procurement scope to children’s toothpaste series, forming a stable long-term cooperative relationship.


From the initial small-scale trial orders for testing and adaptation to large-scale stable transactions, and then to quarterly large-scale returns, the entire process was achieved through the Alibaba Insurance Assurance System, ensuring safe and efficient cross-border performance.
